Purging – A Project Whose Time Had Come

The District of Saanich is a municipality on Vancouver Island in British Columbia, located north of the provincial capital, Victoria. With a population of over 100,000 people, it is the most populous municipality on Vancouver Island, and the seventh most populous in the province. The municipality is named after the Saanich First Nation, and means ‘emerging land’ or ‘emerging people’.

Utilizing the Oracle JD Edwards EnterpriseOne 8.11 system, the District of Saanich runs several of the core modules of EnterpriseOne including General Ledger, Accounts Payable, Purchasing and Inventory. Saanich has been live on EnterpriseOne since 2003.

Being a public organization meant that due diligence needed to be performed. Saanich looked at the alternatives available in the marketplace for JD Edwards users including the main ones most customers would consider.

They arranged for presentations on the solutions and spoke to customers. In the end they selected the Purge-it! solution.

The other solutions seemed more complicated, lower value, not as tightly integrated and not as easy to implement,” noted Terry MacLaren.

Once the decision was made to go forward with the Purge-it! product, the project was put into gear. As the Purge-it! product is built using the same tools that JD Edwards developers use, Saanich was able to install the product just like any other software update for JD Edwards. They resolved some non Purge-it! technical issues as part of the installation, and were through testing within 6 weeks (including time to work on other priorities). The project was a collaboration between the IT Division and the Finance Department as “owners of the data.” A couple of days of training was all that was required to get up and running.
Our plan was to keep 7 years of data in our production tables, so we archived about 6 months of data right away with our initial purge. It worked exactly as expected. We also uncovered data issues that would have otherwise gone totally unknown – this was a great side benefit for us,” Terry indicated.
